Description
This annual event focuses on custom and or homemade items. High quality vendors is what this show is known for. Over 3000 people come annually to enjoy the holiday weekeknd and shop the many quality vendors. In addition to the booths there is a parade, horse show, old fashioned bank robbery, kids games, fireworks and more
Coolest 4th Celebration- 100 Food and craft Vendors, Original handcrafted merchandise prefferred, Old Fashioned Bank Robbery in the square, great parade, complete Pet Show, Peruvian horse Show, Evening dance with Clay McKinney & Gunslinger, Fireworks on Friday evening & more!


Activities
The parade is typically 1 hour in length and travels over a 1/2 mile down main street. The old fashioned Bank robbery takes place twice on Saturday at noon and 2pm. The horse show is a favorite of many starring the Purivian Passao horses from the area. Families have been coming to this celebration for years as it is a wholesome weekend of fun and activities.

Advertising for this event takes place in all of the newspapers within 200 miles as well as some local radio and television. In addition posters are displayed, it is featured on our website and all websites with event information.

Coolest 4th VENDOR RULES AND REGULATIONS
Dates of event: July 3 – July 5, 2009
Fee’s/Refunds/Cancellations
All fees are to be paid in advance and returned with application by June 1, 2009.  NO REFUNDS WILL BE GIVEN AFTER JUNE 15th.  Any applications received after June 1st will incur a $25.00 late fee.  There will be no refunds due to bad weather.  All checks must include a valid driver’s license number and current telephone number.  Cancellations must be made to the Chamber of Commerce.
Booths
Space is reserved only after fees have been received. Booth space is 12’ x 12’ ground space only. Be sure to reserve the correct number of spaces for your needs. Vendors furnish tables, chairs, coverings, extension cords, and their own trash disposal.  (Trash receptacles will be placed behind the Fire Dept and near the Sherriff’s office for your convenience.) The Fort Davis Chamber of Commerce and Jeff Davis County will not be responsible for lost or damaged equipment, vandalism, accidents, or hurt feelings.  You are responsible for securing your own booths.  While we will try to accommodate requests, we cannot guarantee you will be in the same space as a previous year.
All booths will be located on the streets surrounding the Courthouse or as designated.  There will be no booths on the Courthouse lawn itself.  All vendors will have to supply their own awning if they want shade.  For sanitary reasons, Port-a-Potties will be located behind the fire department.

Food Vendors
The Chamber of Commerce can no longer guarantee exclusives on any food items.  Only a limited number of food booths can be accepted, and these will be on first come, first served basis.  Please be sure to look at application deadlines.  Reserve your spot early.  Food vendors must send a valid copy of their current state food permit with their application; the permit must be valid during the July 4th event in Fort Davis.  Food vendors must park four feet from curve.  Please empty your own trash in a dumpster not in a trash barrel.
Electrical Outlets
We can provide a limited number of 110v electrical outlets and a limited number of 220v outlets.  Due to the rising cost of electricity and the upgrades made in 2008 there is a $25.00 charge per 110v outlet and a $25 charge for 220v. You must bring your own outdoor extension cords.   You absolutely cannot plug additional items in via one extension cord or a power strip with out prior approval.  All electric cords and connections will be inspected by the fire department.   If you use more than 20 amps, please reserve more plugs.  If you blow electricity on a continuous bases, you will asked to leave without a refund .  Special consideration, such as additional electrical outlets, must be addressed and agreed to in advance.  This will be limited and considerations will be addressed on a first come, first served basis.  There are no electrical hookups for RVs.  By following the above terms everyone can expect the same results-no blown electrical poles and we will not have to continue to raise the prices.

Booth Set Up
You are responsible for items left over night.  Night watch persons will be provided on Friday and Saturday nights.  If for some reason you can not set up on Thursday you may set up on Friday morning but you must be ready for business by 9am. Chamber volunteers will be available to help you locate your space.
Vehicles
Vehicles must be moved away from the Courthouse perimeter and parked in the designated area no later than 9:00 A.M. Please respect No Parking signs.  Registered vendors will be given a Parking Permit to display in the windshield of their vehicle and will be allowed to park on the south side of the chamber backyard.  (Directions will be provided at check-in.)
Cleanup
Clean up is a must. Vendors provide their own trash disposal.  Trash barrels located around the Courthouse are NOT for vendor use.  Extra dumpsters will be located around the outside of the Courthouse grounds for vendor use.  Vendors are responsible for the cleanliness of their area during and after the event and for the conduct of their personnel. Any space left in disarray or with loose trash/garbage, will result in loss of further participation in future events.
Booth Items
This is a family oriented function. Novelty vendors will not be allowed to sell potato  guns, silly string, stink bombs, exploding cracker balls, water guns, pea-shooters or any type of shooting device that propels any objects such as B.B.’s , air soft pellets, darts, arrows or balls of any kind. NO SHOOTING TOYS AT ALL OF ANY KIND! Additionally anyone caught doing so and or selling an item unsuitable for minors to a minor will be asked to leave and will not be allowed to return for future events.
Set Up, Vehicles and Clean up - Dance Time (evening) Only
Same as booth set up above except set up begins at 4 P.M. and must be ready by 5:30 PM Saturday evening, July 4th.   All dance food booth vendors must enter by the ticket gate, clearly displaying vendor tags at the gate.  All vehicles must be moved and parked in designated areas by 5:30 PM.

Common Rules Selected: Previous acceptance does not guarantee re-acceptance. Spots are assigned prior to show based by promoter. Conditional Partial or Full Refunds by conditions such as date and whether your space is resold. Held Rain or Shine! Overnight Security Provided. ALL product categories must be itemized on the application. No streamer poppers, snaps, silly string, stink bombs or other similar items may be sold! No pop guns, marshmellow guns or other disruptive items may be sold. Trash must be removed from your space to provided receptacles. Canopies must be weighted down, no stakes allowed in ground. NO Setup until vehicle fully unloaded and moved. Vehicle must be parked in designated areas. Standard Rules: All work and displays must stay within designated space. No boxes, extra merchandise or debris should be visible. Spot area must be kept clean throughout the event and be left spotless afterwards. No soliciting, approaching patrons, or distribution of advertising material outside of booth area. All vendors must have a state sales tax license. Vendors are responsible for collecting and remitting all sales tax.

Event Quality Level Determining Flags:
Vendors with items violating contract terms WILL BE asked to remove them.
