Event/Application Rules & Regulations
The spring show will be April 3rd and 4th, the fall show will be September 11th and 12th, and the Christmas show will be November 20th and 21st. All shows are Friday from 9 to 5 and Saturday from 9 to 3. The shows will be at Foxcare Center, which, as most of you know, is a beautiful Medical Complex with wide, bright aisles and lots of room. The spaces are large, with each space having 10’ of frontage. Depth depends on where the space is located. Electric is limited and is on a first come first served basis. Loading and unloading is easy – all ground floor and lots of parking. The parking situation gets better each year and we will continue to monitor it. I must have make, color and plate number of your vehicle or I will return your application to you. You will be given tags to place on your rear-view mirror to identify you as a crafter. We are not furnishing tables and chairs again this year so make sure you bring your own. If you have electric, bring lead cords in case you need them. These will again be two day shows and you must attend both days, and you must stay for the duration of the show. We had a few people leave one or both days before the show was over. They will not be invited back. If you have not arrived to set up by 8:00 on the day of the show, you will forfeit your space and will not be given a refund. I will assign the space to the next person on the waiting list. If you find you are unable to attend the show for any reason, please call, even if it is the night before. I always have people waiting for a spot. The cost for Fox Employees will be $45.00 and $55.00 for every one else. The discount employee price is limited to employees. It is not intended for family members and friends. The employee must make the items and participate in the show. We will once again have set up on Thursday from 5 to 8 and again at 7AM on Friday and you need to be ready for customers by 9AM. Your tables may be left set up and we will secure the space, however we accept no liability for loss or damage to any merchandise. Attached, you will find applications for all three shows. You must have a Tax ID# and it must be displayed continuously during the show. In addition, food vendors must have a food processing license prominently displayed. All items on your display must be hand-made. You will be asked to remove those that are not. Tables must be covered to the floor. Nothing is permitted on the walls. You may use standing lattice, shelves, or racks, however, do not take up any more space than is yours. If one space is not big enough, rent two, or arrange to share an additional space with someone else. We are in a busy medical complex and we must be careful about doorways, fire extinguishers, etc. Children can not be allowed to play or run in the aisles. There is no smoking on Fox Hospital grounds. This is new for most of you so make sure you observe this rule. No pets, alcohol, or radios allowed. You are responsible for placing all trash in the receptacles before you leave. There are no refunds of show fees; however I will evaluate each case on its own merits. There is a $25.00 fee for any returned check.
I do not routinely send out any confirmations. If you would like one sent, enclose a stamped, self addressed envelope when you send in your application and I will be glad to send one. The shows will be well advertised and 2 to 3 weeks before each show, I will be sending out flyers for many of you to put up. There will be drawings and door prizes, so I would like each crafter to donate an item so we can make up nice gift baskets. Make sure your business card is attached to the item you donate.
We are trying to guarantee everyone a quality show, which sometimes means I have to make difficult decisions. I will be limiting the number of each type of craft in each show, and I will be trying to strictly enforce the “all items must be hand made” rule. I am also constantly looking for new crafters who may make items we have not seen in awhile.
Please remember that we are here because of the Hospital Auxiliary. We create a lot of confusion when we are setting up and getting ready. We have to be very careful about being quiet and courteous. The Auxiliary members may ask you to move your vehicle, items in the aisle, etc. Please do not argue – we do not want to lose this wonderful spot! Parking, as always, is critical. There are sections reserved for patients only and other sections for others. We need to park as far out to the edge as possible. The handicapped spaces are for patients. If you have a handicapped sticker, we will be more than happy to move your car and bring it back up for you as needed.

Eileen at The Rock Inn will offer a special price for vendors again next year. You need to tell her that you are with the show at FoxCare when you make your reservation to get this rate. I spoke with her tonight and she is going to try to hold the rate at $55.00 for us next year. The rooms are clean, the beds comfortable, and you can prepare a light meal right in your room. Several crafters have stayed there, so you can check with them.

Previous acceptance does not guarantee re-acceptance. Vendors do not have to signup for all event dates. Spots are assigned prior to show based by promoter. Conditional Partial or Full Refunds by conditions such as date and whether your space is resold. Held Rain or Shine! Overnight Security Provided. ALL product categories must be itemized on the application. No vendor may sell any soft drinks, name brand drinks, or bottled water. No streamer poppers, snaps, silly string, stink bombs or other similar items may be sold! No pop guns, marshmellow guns or other disruptive items may be sold. Trash must be removed from your space to provided receptacles. No Gas Generators. No Early Packup Allowed. Raffle / Door Prize Donation Required. Floor Length Table Cloth Required. NO Setup until vehicle fully unloaded and moved. Vehicle must be parked in designated areas. Standard Rules:
All work and displays must stay within designated space.
No boxes, extra merchandise or debris should be visible.
Spot area must be kept clean throughout the event and be left spotless afterwards.
No soliciting, approaching patrons, or distribution of advertising material outside of booth area.
All vendors must have a state sales tax license. Vendors are responsible for collecting and remitting all sales tax.
Event Quality Level Determining Flags:
All items must be mostly hand made, no minor Embellishments only.
All items must be Fine Craft or Art.
Limited number of Artists per category.
Artist must be present day of show.
Floor length table cloths required.
All product types to be sold must be listed on application.
